Terms of Service

1. The agreement
These terms are between you and Thera-Buddy. By creating an account or using the service you accept them. If you are using Thera-Buddy on behalf of a practice, you confirm you have authority to accept on its behalf.
2. What Thera-Buddy is
Thera-Buddy is administrative software. It helps you write up a session, raise an invoice, email a parent, and keep your calendar and records in order. It sits on top of your own Google account and, if you connect one, your own accounting system.
It is not clinical software and gives no clinical advice. It does not tell you how to treat anyone, and it is not a substitute for your own professional judgement, your supervision, or the record-keeping standards of your professional body. Meeting those standards remains yours.
3. Your account
Keep your login details secure and don’t share your account. You are responsible for what happens under it. Tell us promptly if you think someone else has access.
4. Trial and payment
- New accounts get a 14-day free trial. No card is needed to start.
- After the trial, Thera-Buddy costs R199 per month.
- Billing is handled by Paddle, who act as merchant of record. Their terms apply to the payment itself.
- You can cancel at any time. Your account stays active until the end of the billing period you have already paid for. We do not pro-rate part months.
- If we change the price, we will tell you at least 30 days before it applies to you.
5. Your data and your clients
You keep ownership of everything you put into Thera-Buddy. We claim no rights over your notes, your client records, or your invoices.
You are responsible for having a lawful basis to hold and process information about the children and families you work with, including any consent your professional body or local law requires. You confirm you will not use Thera-Buddy to store information you are not entitled to hold.

6. Acceptable use
Don’t use Thera-Buddy to:
- break the law, or infringe anyone’s rights
- send unsolicited bulk email through your connected account
- attempt to access other users’ data, or probe or disrupt the service
- resell or white-label the service without our written agreement
7. Third-party services
Thera-Buddy connects to Google, and optionally to Xero, Zoho Books, and payment providers. Those services are run by other companies under their own terms. If one of them changes, restricts, or withdraws access, parts of Thera-Buddy may stop working, and that is outside our control.
8. Availability
We work to keep Thera-Buddy running but do not promise uninterrupted service. We may take it down for maintenance, and we may change or remove features. If we retire something you rely on, we will give reasonable notice.
9. Liability
Thera-Buddy is provided “as is”. To the extent the law allows, we exclude implied warranties, and we are not liable for lost profits, lost data, or indirect or consequential loss.
Where liability cannot be excluded, our total liability to you in any 12-month period is limited to the amount you paid us in that period.
Nothing here limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be limited.
10. Ending the agreement
You can stop using Thera-Buddy and close your account at any time. We may suspend or close an account that breaches these terms, or where required by law. On closure you can ask us to delete your data, as described in the Privacy Policy. Anything already written into your own Google Drive or Calendar stays with you.
11. Changes to these terms
We may update these terms. If a change materially affects you we will email you before it takes effect. Continuing to use Thera-Buddy after that means you accept the updated terms.
12. Governing law
These terms are governed by the laws of South Africa, and the South African courts have jurisdiction. If you are a consumer elsewhere, this does not remove protections you have under your own local law.
